If you’ve ever heard the words “審査に落ちました” (your application was declined), you know how frustrating and confusing Japan’s rental screening process can feel.

Unlike some countries where approval is straightforward, renting in Japan involves a formal screening process (入居審査) — and failing it doesn’t always mean what you think it does.

Let’s break down why it happens, what landlords are really looking for, and how you can improve your chances next time.

How the Screening Process Works

In Japan, most rental applications go through three layers of approval:

  1. The property management company

  2. The landlord (オーナー)

  3. A guarantor company (保証会社)

Even if the landlord likes you, the guarantor company can still decline your application — and in many cases, the specific reason is not disclosed.

This lack of transparency makes the process stressful, especially for first-time renters.

Common Reasons You Were Declined

1. Income RatioMost landlords expect your monthly income to be at least 3× the rent.

2. Employment TypeFull-time permanent employees (正社員) are preferred. Freelancers, contract workers, and part-timers may face stricter screening.

3. Credit or Payment HistoryMissed rent or credit card payments can affect guarantor company approval.

4. Visa Status (Foreign Residents)A short remaining visa or unstable job history may raise concerns.

5. CompetitionSometimes another applicant was simply a “safer” choice.



What It Doesn’t Mean

Failing screening does not mean:

  • You’re irresponsible

  • You can’t rent in Japan

  • You’ll fail again
